Terms of Use
Last updated: 27 October 2026
These terms apply to the Sole Trader Books bookkeeping software at soletraderbooks.com.au (the "Service"), operated by the operator (ABN ) ("we", "us"). By signing in to or using the Service you agree to these terms.
1. A private system: authorised users only
The Service is a private bookkeeping system. It is not open to the public. You may only use it if you have been given an account by us, or have accepted an invitation sent by the account owner. Accessing or attempting to access the Service, or any account or data in it, without authorisation is prohibited and may be an offence under Australian law. Sign-in attempts and activity are logged, and we may report unauthorised access to the police or other authorities.
2. Your account and security
- Keep your password, authenticator app and recovery codes secure and private, and don't share your account.
- You are responsible for everything done using your login or your API keys.
- Tell us straight away if you think your account has been accessed by someone else.
- Account owners are responsible for the people they invite and the access they give them.
3. Not tax, financial or legal advice
The Service is a software tool. Reports and figures it produces, including the BAS worksheet, profit and loss and balance sheet, are calculated from the information you enter, import or connect, and depend on how you code and reconcile transactions. We are not a registered tax agent or BAS agent, and nothing in the Service is tax, accounting, financial or legal advice. You are responsible for checking the accuracy of your records and of anything you lodge with the Australian Taxation Office or any other authority. Get advice from a registered tax or BAS agent or accountant before relying on the figures.
4. Your data
- Your business records stay yours. We only use them to provide and secure the Service, as described in our Privacy Policy.
- You are responsible for having the right to store information about the people in your records (for example customers and suppliers) and for keeping your own records for as long as the law requires (generally five years for tax records).
- The Service lets account owners download a backup of their data at any time. Please keep your own regular backups.
- If you ask us to close your account, we will delete your data, except where we are required by law to keep it.
5. Third-party services
Some features rely on other providers, including our Australian web hosting provider, Basiq (optional bank feeds, under the Consumer Data Right and your consent given to Basiq), Let's Encrypt (website security certificates) and your authenticator app. If you choose to connect an AI assistant using an API key, it can read and change your records as you direct it. Those providers have their own terms, and we are not responsible for their services.
6. Availability and changes
We provide the Service "as is" and "as available". We try to keep it secure and working, but it may sometimes be unavailable, contain errors, or change. We may suspend or end access to the Service, or to an account that breaches these terms, at any time.
7. Liability
Nothing in these terms excludes, restricts or modifies any right or remedy you have under the Australian Consumer Law or any other law that cannot lawfully be excluded. Subject to that:
- we exclude all other warranties, conditions and guarantees;
- we are not liable for any indirect or consequential loss, or for loss of data, profits or business, or for penalties, interest or charges imposed by the ATO or any other authority; and
- where our liability for a failure to comply with a consumer guarantee can be limited, it is limited (at our option) to supplying the services again or paying the cost of having them supplied again.
8. Changes to these terms
We may update these terms. The date at the top shows when they last changed. Continuing to use the Service after a change means you accept the updated terms.
9. Governing law
These terms are governed by the laws of the Australian state or territory in which the operator is based, and you submit to the courts of that place.
10. Contact
Questions about these terms: please contact the person who gave you access.
